Visitor Code of Conduct
Everyone who visits TIS shares responsibility for a safe, calm, and respectful learning environment. These practical expectations put each child’s safety, dignity, privacy, and best interests first.

Who this applies to
Parents and carers, guests, volunteers, contractors, suppliers, speakers, event attendees, and other non-staff visitors while on campus, at a school-controlled event, or in a restricted school facility. Staff and student codes remain separate.
Before you arrive
Adult Visitor Registration
Complete this form before arriving on campus. All visitors must still report to the school office for identity and appointment verification.
Four essentials
Register and report in
Submit the adult visitor form, save its confirmation and reference, report to the designated entrance, complete reception checks, and wear the visitor badge visibly.
Stay authorized
Remain in approved areas, follow escort arrangements, and leave or move when staff direct you.
Protect children
Keep appropriate boundaries and protect every student’s identity, dignity, safety, and privacy.
Speak up
Report a concern immediately to the nearest staff member or the main office; do not investigate it yourself.
Arrival, badges, and access Enter through reception and stay only where your visit permits.
At arrival
- Before entry, an adult visitor or responsible adult must submit the visitor form and retain its confirmation or reference for the office. Reception can provide an accessible assisted or paper alternative when the online form cannot be used.
- Arrange an appointment when the school requests one and arrive through the designated visitor entrance.
- Sign in accurately, provide identification when requested, state the purpose of the visit, and accept any screening required for safety.
- Wear the issued badge visibly, do not lend it to anyone, then return it and sign out before leaving.
While inside
- Follow the agreed time, route, escort, and access limits. Never tailgate through a controlled door or admit another person.
- Do not enter classrooms, staff offices, medical areas, record rooms, IT areas, kitchens, or service zones without specific permission.
- Accept that the school may delay, restrict, or refuse access when needed for student safety, privacy, operations, or an emergency.
Respectful conduct and student boundaries Use calm, inclusive conduct and keep all contact with students observable and appropriate.
Expected conduct
- Treat students, families, staff, and other visitors with patience and respect. Harassment, discrimination, humiliation, intimidation, threats, and violence are not accepted.
- Use age-appropriate language, follow staff instructions, and avoid disrupting lessons, routines, assessments, or confidential conversations.
- Do not question, discipline, transport, or remove a student unless the school has expressly authorized you to do so.
Safe boundaries
- Do not arrange unapproved one-to-one or secluded contact with a student. Remain visible to staff and follow the agreed supervision plan.
- Do not exchange personal contact details, private messages, social-media connections, money, or gifts with students unless the school has formally approved the activity.
- Do not ask a child to keep a secret. If a child shares a concern, listen calmly, do not promise confidentiality, and report it promptly.
- Avoid physical contact except when it is appropriate, consented to where possible, and necessary for the authorized activity or immediate safety.
Photography, privacy, and confidentiality No recording, identification, or sharing of student information without school authorization.
- Do not photograph, film, livestream, or make audio recordings of students, staff, screens, documents, or restricted spaces without prior school authorization and any required consent.
- Do not publish, forward, tag, identify, or comment on a student or their work through social media, messaging, email, AI tools, or any other service without authorization.
- Keep names, contact details, health or learning information, access codes, conversations, and records confidential. Return or securely delete information when instructed.
- Do not use a visit, visitor list, school network, or information seen on campus for advertising, solicitation, research, or another unrelated purpose.
- TIS may record the minimum pre-registration details stated in the form notice, that an identity check occurred (not an identity-document copy), badge activity, visit timing and purpose, and CCTV footage where notified, for access control, safeguarding, and security. The point-of-collection notice states the current retention period; ordinary online registrations use 90 days by default and documented holds apply only when necessary.
Restricted and prohibited behaviour Anything unsafe, unlawful, intimidating, intoxicating, or unauthorized is incompatible with a school visit.
Do not bring or do
- Weapons, illegal drugs, alcohol, smoking or vaping products, or any item intended to harm, threaten, or intimidate.
- Enter while impaired by alcohol, drugs, or another condition that makes the visit unsafe.
- Use abusive language, fight, damage property, block access, tamper with safety or IT systems, or ignore a reasonable safety instruction.
- Bring animals, hazardous materials, tools, equipment, commercial promotions, or distributed materials without prior authorization. Approved assistance animals are permitted.
Health, safety, and emergencies Follow current health notices and staff directions without delay.
- Postpone a visit when school health guidance requires it or when illness could put others at risk. Tell reception promptly about a spill, hazard, injury, or unsafe condition.
- On an alarm or emergency instruction, stop the visit and follow staff to the stated safe location. Do not obstruct responders or re-enter until authorized.
- Do not leave campus with a student or move a student to another location unless the school has formally confirmed your authority.
- Only provide first aid, medication, food, or physical assistance when authorized and competent, except for proportionate action needed to prevent immediate harm.
Contractors, volunteers, and events Additional checks and controls may apply when work or activities occur near students.
Additional responsibilities
- Complete any role-appropriate identity, safeguarding, background, induction, risk-assessment, insurance, or permit checks before work begins.
- Secure tools, materials, keys, devices, and work areas; use required protective equipment; and coordinate noisy, hazardous, or disruptive work with the school.
- Use school information and systems only for the agreed task and follow applicable confidentiality, security, health-and-safety, and child-safeguarding requirements.
- Event organizers and supervising adults must explain the rules to their guests and children and maintain the supervision agreed with TIS.
Reporting a concern Report promptly; preserve facts and privacy; let the school’s safeguarding process respond.
What to do
- For an urgent safety, safeguarding, missing-child, medical, fire, or security concern, tell the nearest staff member or the main office immediately. If someone faces immediate danger, alert staff and the appropriate public emergency service.
- For a non-urgent concern, contact the main office as soon as possible and share only factual details: what you observed or heard, when and where it happened, and who was present.
- Do not confront an alleged offender, interview a child, investigate, circulate allegations, or promise a particular outcome. Preserve relevant evidence and confidentiality.
- Reports made honestly and in good faith must not lead to retaliation.
Breaches and consequences The school may act immediately and proportionately to protect people, learning, information, and property.
- TIS may give a direction, end a visit, recover a badge or access credential, require an escort, restrict future access, or contact an employer, event organizer, or responsible adult.
- Serious, repeated, unlawful, or safeguarding-related conduct may be referred to the relevant authority or emergency service where appropriate or required.
- The school will aim to record and respond to concerns fairly, confidentially, promptly, and in proportion to the risk, while putting child safety first.
